The optional file is a high-res thumbnail to be used on the promotional postcard sent out to editors, art directors, etc. announcing the new site. There are a limited number of spaces on the postcard so getting your art in for this in timely fashion is crucial. It should be noted that there are no illustration credits given on the postcard.
Labeling is important when you are working with nearly 300 graphic files. PLEASE, PLEASE, PLEASE remember to label the art thusly:
FOR YOUR QUARTERLY SITE ART
Joe Oboe's quarterly site art for Fall 2008 would be labeled like this:
f8-oboe-j.jpg
In other words: f6-artist's last name-artist's first initial.jpg (or .tif)
"f8" stands for Fall 2008, "j" stands for Joe.
For other seasons: f = fall, s = summer, g = spring, w = winter
It should be no taller or wider than 400 pixels at 72 dpi. The art needs to fit inside a space 400 pixels wide and 400 pixels high. The art can be any shape, but if it's a very long horizontal or tall vertical shape, it will appear small on the page.
FOR YOUR QUARTERLY SITE THUMBNAIL
Joe Oboe's quarterly art thumbnail for Spring 2007 would be labeled like this:

In other words: tf6-artist's last name-artist's first initial.jpg (or .tif)
"tf8" stands for Thumbnail Fall 2008, "j" stands for Joe.
For other seasons: tf = fall, ts = summer, tg = spring, tw = winter
The thumbnail can be any part of, or your whole quarterly illustration. But it must be 60x60 pixels at 72dpi. Keep in mind that the thumbnail should be interesting enough to inspire a viewer to click through to your main site illustration.
For fairness, the thumbnails will rotate their order every quarter so that everyone's art gets a chance to be above the fold.
FOR THE OPTIONAL POSTCARD THUMBNAIL
Joe Oboe's Postcard art would be labeled like this:

"pcf8" stands for Postcard Fall 2008, "j" stands for Joe.
The optional postcard thumbnail should be a high-res cropping from your quarterly site submission. It should be 375x375 pixels at 300dpi. File formats can be .psd, .eps, .tif or .jpg.

Summer postcard: JUNE 1
Fall postcard: SEPTEMBER 1
Winter postcard: DECEMBER1
Spring postcard: MARCH 1
FOR YOUR SITE PHOTO
Joe Oboe's photo should be labeled like this:

The "p" stands for portrait.
The photo should be 100x120 pixels at 72dpi (vertical). It will be in black and white on the site. Feel free to convert it or send it to me in color and I'll convert it to black and white.

NEW FULL MEMBERS - Once your payment has been sent, you may contact Kevan, our webmaster, for inclusion on the site. Along with your art and photo submissions, provide him with your email, your website address and your phone number for the site. Each of these are optional. New art and members are posted at quarterly update times. Site participation is dependent upon the receipt of your payment and registration form. Follow the guidelines above for submitting art and photos.
